Getting Started 1 – General Setup

Welcome to the video series to help new and existing users get familiar with Overture workflows. This series is designed to sit alongside the training that you’ll receive as part of your setup. If you have already been setup you can go straight ahead and add bookings to your calendar. If you are still waiting to be setup we recommend that you don’t add any real bookings until your document templates are ready to go. You can however add contacts and test bookings to see how everything fits together.

Overture is able to adapt to your agency requirements, so it may look slightly different in these videos. If you are a classical agency once you get to the ‘adding bookings’ video, I suggest you watch ‘adding classical bookings’ which is more tailored to your workflows. In the first video of this series I’m going to do a quick overview of the Overture interface and behaviours.

The Dashboard

I’m going to begin by logging into my demo agency. After login you are taken to your personal dashboard where you can see all the recent activity for your company. I don’t have anything yet as it’s a completely new account. In the sidebar here you can see the main options, these vary from screen to screen, but in this case I have ‘Add Person’ and ‘Add Company’ then below I have the ‘Add Task Button’.If I click Add Task I will see the add task form. I’ll go over the details of this form in the Dashboard video, but for now I’ll quickly add some tasks to complete. As you can see here these tasks now appear in the dashboard feed. Other activity to do with bookings or contacts will also appear in the feed like this.You can see the rest of the main features appear as tabs in the top nav bar these give a good overview of what the main features of Overture are. Over here we have an option labelled recent pages so you can easily navigate to the most recent contacts and bookings you have viewed. Further along we have the option to show or hide the sidebar. This can be useful when viewing the calendar or a large report table.Up in the top Icon menu you will find links to Help, Settings, Account and Logout. For this video I’m going to head over to settings to get everything setup.

Booking Settings

Once in settings you can see all the options available to you in the sidebar.

I’m going to click on Bookings for now, as I want to setup the statuses that I’ll be able to choose when I add a booking. I’d also like to set up some basic colour coding so that I can easily see the booking status by glancing at the calendar.

Overture comes with a few default statuses you can keep these or remove them if you want to customise them completely. If you click on the button at the bottom labelled ‘Add Field’ and enter the text you require, hit enter, and you now have your new status in the list. I’m now going to choose the colours for my statuses. There’s a nice selection of colours in the picker, personally I think it’s good to choose a colour that best represents the status.

For confirmed I’m going to choose the bright blue to make it stand out for pending I’m going to choose an amber colour. You can set the colours any way you like but for the best results choose a varied colour palate so that the calendar has a good level of contrast.

Each status has options attached to it for example this status will be the default one set when a booking is created with this option I can set the booking to be invisible to external users and here I can choose which status will be the confirmed status as you might like more than one.

Below we can also set any services that we would like to appear in the booking financials list. I’m going to add Deposit and Balance and Performance. Lastly I want to quickly show you how to setup your messages. So lets head over to the sidebar again and click on the messages option.

Messages Setup

Overture generates many of your common emails for you and you can customise them how you like. As you can see here there are many different types but they all work in a similar way so I suggest you go through them and customise them how you like. For now I’m going to concentrate on Event Confirmation to give you a general idea of how they work. So let’s go through these one by one.

‘Sent when booking status is changed to’ is pretty self explanatory but you can see why it was important to complete the step where we set the booking statuses as confirmed.

‘Event confirmation emails sent from’ You can keep this as the person who created the booking or change to a specific member of your team.

‘Choose who to generate the emails for’ these options allow you to decide who gets the emails and whether you need to send them from the outbox or just automatically.

Any extras you’d like to include as part of the email are here you can just tick to select them. For the message Overture allows you to add the specific details such as booking name or artist name directly into your message using placeholders in square brackets.

Using this method you can write the email exactly how you like and include the placeholders when you need the email to reference the information required. For example I can write my email message in here using these placeholders like this. With this particular settings page you need to make sure that you scroll to the bottom and hit Save Settings otherwise you will lose all your hard work.
